Club Tri-Fold Brochure

Why should prospects consider an invitation to join Rotary and your club in particular? It helps to have the answers ready, and in a format that they can take with them and review at their leisure. We have a pair of templates available that you can modify specifically for your club. The documents were prepared in Word 2000 and should be useful if opened with that edition or newer.

Specific guidance for modifying either template for your use follows some generic guidance that applies to either template.

General Guidance On Customization

In the examples provided we have filled in details from the Rotary Club of Yourtown. A quick word of caution is in order regarding modifications. When you change information you can cause the word wrap to add or subtract lines from the original design. This in turn can cause items to scroll over to the next column or even on to the next page. It is a good idea to print the original unaltered template to provide you with a guide to layout. As you modify text, if your information creates an additional line, take a blank line out somewhere to compensate. Similarly, if your changes eliminate a line, insert a blank line to maintain the original vertical spacing.

You may be able to find graphics online that are better related to the organizations that you supported or assisted. Visit their web site, put your cursor on their logo or other image, right click your mouse, and select Save Picture As directing the file to an appropriate folder on your local computer. In the Word document, place your cursor where you want the image placed, right click the mouse and select Paste. By default, text will not word wrap around images. If you would like to have the words wrap around an image, right click the image, and select Format Picture, and then the Layout tab on the Format Picture window. Select Square, and then select the desired horizontal alignment. If you select Left, the image will be flush to the left margin, and text will flow around it to the right.

Check the layout to see if you need to add or remove blank lines to restore the layout to its original vertical spacing, and modify as needed.

From the menu at the top of the window, select File, Save As and select an appropriate directory on your local computer to save the file. If your printer is not designed to automatically print both sides of a page, select File, Print, and then set the Page Range to Print Page 1 only, and set the Number of Copies to the desired quantity. Click OK to send the page to the printer. Allow the page to dry for a while. Remove additional paper stock from your printer and replace with the pre-printed page 1. Print one copy to assure that you have oriented the paper properly in the tray. Be sure to set the page range for page 2. Print the remaining copies of page 2 only after reorienting the paper as needed.

Customizing Template 1

Page 1 Center Panel

  • Replace the Yourtown club name with yours.

  • Replace the PO Box address with your club mailing address

  • Replace the town and ZIP with yours

  • Replace the President name and phone with your presidents information

  • Replace the website name with your club's URL

  • Update the meeting time and location

  • Update the area number and the name of your Assistant Governor

  • Update the list of Directors and Officers names and positions. Note that all clubs do not have all of the same directors or officers designated in their by-laws.

Page 1 Right Panel

  • Replace the Yourtown club name with yours.

Page 2 Left Panel

  • Edit paragraph starting "The Rotary Club of Yourtown was chartered" with correct information about your club.

Page 2 Center Panel

  • Replace major fundraiser events shown with your club events. Replace graphics if appropriate. You can select Insert, Picture, Clipart to find alternative graphics, or just delete the existing graphics if they don't apply to your events.

  • Alter the financial commitment to match those that apply to your club members.

Page 2 Right Panel

  • Replace the major service projects with those that apply to your club. Change the graphics to match the program or delete existing graphics without replacing.

  • Replace the list of smaller beneficiaries of your services.

Customizing Template 2

Page 1

  • In the right hand panel, replace the Yourtown club name with yours.

Page 2 Center Panel

  • Replace the Yourtown club name with yours.

  • In the box, delete any activities that do not pertain to your club. Add in any activities that your club supports that are not mentioned. Maintain a balance in your selection and do not overload the box with information.

  • Below the box, replace Event 1, Event 2, Event 3 with the name of your annual fundraising events. Modify the time frame label as needed.

  • In the address box, replace the Yourtown club name with yours, and modify the address to your mailing club mailing address. If you have a club website, replace the website name with your URL. If you don't have a club website insert a blank space to hold the vertical spacing.

Page 2 Right Panel

  • Replace the Yourtown club name with yours.

  • Modify the meeting day to match yours.

  • Modify the meal name to match yours.

  • Modify the meeting time to match yours.

  • Modify the venue name to match yours

  • Modify the street address to match yours.
