Rotary Club Youth Exchange Responsibilities

  • Determine role that club wants to play in youth exchange process:        

  • Sponsorship of students

    • How many students to be sponsored with club paying $400 program participation fee

    • OR

    • Club willing to sponsor students but will pass on some or all of the $400  program participation fee to student and his/her parents

    • Does the club want pay for some or all of the airline and other costs?

  • Assist in hosting students from another country if sponsored student’s family cannot host a student

  • Determine club member responsible for coordinating youth exchange process within each Rotary Club.

  • Disseminate information and application packets to students at high school in your area.

    • Information meetings

    • Work with school officials (counselors, administrators, Interact Club advisors)

  • Establish club timeline that fits with district timeline, to include:

    • Deadline for applications (March 17, 2008) at the club level

    • Screening of applications (See Initial Application Attachment 7)

    • Interview of candidates (on or before March 28, 2008)

  • Determine acceptability of candidates and commitment of applicants to participate in the family-to-family exchange if chosen.

  • Determine acceptability of Host family and its’ qualifications to participate in the family-to-family exchange if chosen.

  • Club forwards names and applications, approved Host Families, Live scan information, etc.to District Committee within the district-established timeline

  • Club president sign application indicating that applicant has been interviewed and endorsed by the club.
